When members (clients, prospects, referral sources and team members) of Sponsor firms click on the "Full Article" button contained within each article delivered in the emails or "More Information" with an announcement or click on any banner ad, the click information about that member's reading profile is available to the Sponsor organization in the form of reports. As part of our desire to offer and provide customizable and personalized services, Electra Ink Studio uses "cookies" to secure your transaction activities and enhance the performance of the Site and the service. A cookie is a small identifier data that is sent to your browser from a Electra Ink Studio web server and stored on your computer's hard drive. Electra Ink Studio uses session ID cookies. For this type of cookie, once users close the browser, the cookie simply terminates.
Third Party Advertising
Advertisements that appear on Electra Ink Studio websites may be delivered directly to users by third party advertisers. These third party advertisers may also download cookies to your computer to personalize advertising content. In this way, they may compile information about where individuals using your computer or browser saw their advertisements and determine which advertisements are clicked. Electra Ink Studio does not have access to or control of the cookies that may be placed by the third party advertisers. Electra Ink Studio takes every precaution to protect our user's information. When Sponsors submit sensitive information via the Web site, their information is protected online and off-line.
Your Electra Ink Studio account information and profile are unique to you and password protected so that, other than Electra Ink Studio Employees who need to know and your Sponsor organization, only you have access to this information. For security purposes, online orders, including name, address, and credit card information, are encrypted with SSL or Secure Socket Layer technology.
While Electra Ink Studio uses SSL encryption to protect online orders, we also strive to do everything in our power to ensure and protect user information off-line. Only employees who need the information to perform a specific job (for example, our customer support representative or our invoicing clerk) are granted access to personally identifiable information. Our employees must use password-protected screen savers when they leave their desk. When they return, they must re-enter the password to re-gain access to user information. Furthermore, all employees are kept up-to-date on our security and privacy practices. Any time new policies are added, our employees are notified and/or reminded about the importance we place on privacy, and what they can do to ensure our user's information is protected. Finally, the servers that store personally identifiable information are in a secure environment. All these safeguards help prevent unauthorized access, maintain data accuracy and ensure the appropriate use of data.
Correcting and Updating Your Information
If a Sponsor's personally identifiable information changes (such as telephone number, email address, postal address or zip code), or if a user no longer desires our service, we provide a way to correct, update or delete/deactivate the Sponsor's personally identifiable information. This can done at the Electra Ink Studio web site by selecting the "Contact Us" tab and indicating the updated information.
Should the Sponsor organization elect to terminate their service with Electra Ink Studio, Electra Ink Studio will place the Sponsor organization on hold for thirty days. At the end of the prescribed period, Electra Ink Studio will delete all email addresses and client lists from databases relevant to that Sponsor organization.
Internal Revenue Code (IRC) 7216
Those Sponsors affected by IRC 7216 are afforded additional privacy protection within the Electra Ink Studio platform. IRC 7216 requires firms to obtain consent to disclose information given to any third party. Electra Ink Studio would be considered such a third party by its Sponsors under IRC 7216.
The Electra Ink Studio platform allows a Sponsor to upload clients that are affected by IRC 7216 with unique identification data to indicate that they are a tax-only client. Upon receipt of data into the Electra Ink Studio system indicating a Sponsor's client is a tax-only client, any information on the record for that client is masked so that no employee, regardless of position in Electra Ink Studio has access to download or view that information in any manner or format. This restriction of client information includes the Member Database and any Reports. Based on this masking process, Electra Ink Studio has been advised by our attorneys that a transfer to a third party has not taken place because Electra Ink Studio is not able to see the information that was uploaded to the system by the Sponsor.
The purpose of these additional privacy policies are to allow Sponsors to upload members that receive tax-only services from the Sponsor into the system and be afforded the comfort and protection of knowing that the Sponsor has not made a transfer to a third party.
The Electra Ink Studio platform also contains a Compliance Center, which the Sponsor can use at no additional cost to obtain appropriate consent to use information from a tax-only client.
